Events Project Manager (M/F)

An international NGO based in Geneva.

Lead logistics for external events in Geneva and abroad, including conferences, board meetings, and receptions
Oversee event budgets, ensuring events are delivered within budget and on time
Conduct site inspections to select venues and arrange hotel bookings
Negotiate cost-effective rates with suppliers (venues, hotels, catering, AV, transport, interpretation) and coordinate with them leading up to and during events
Manage the invitation and registration process, working with marketing on creative designs, guest list coordination, and tracking responses
Prepare badges, registration forms, vouchers, and conference packs
Develop coordination tools such as critical paths, seating plans, and running orders for smooth event execution
Serve as the main logistics contact on-site during events
Coordinate the annual events calendar and maintain an internal information-sharing platform
Serve as the main event focal point for departments, providing production guidance for their events
Work with the Lead Marketing to source and organize branded materials for events

Bachelor degree in Event Management, Communications, Marketing, Public Relations or related discipline
Extensive experience in large-scale event production
Proven track record in strong logistical and organizational skills
Demonstrated excellence in both written and verbal communication
Skilled in handling high-level interactions with diplomacy and professionalism
Adaptable and effective in team environments, with the ability to manage multiple tasks and prioritize efficiently
Experience in drafting and editing documents and presentations
Proficient in IT, with advanced skills in Microsoft Outlook, Word, Excel, PowerPoint, and internet use
Over 2-4 years of relevant experience in large-scale event production
Experience working in international and/or executive-level environments
An excellent knowledge of English and French. Knowledge of other languages would be an asset
